GroupMAN has the ability to send out automated messages
to your list at specified intervals. Many lists maintain Frequently Asked Questions
(FAQ) files on the subject in question. The scheduled document feature is perfect
for mailing out FAQ messages on a regular basis.
Scheduled documents are messages that are stored as regular text files in your
templates folder, these text files can
utilize any of the available GroupMAN template variables
To access the scheduled documents, open the List Administration GUI and click
REPOSITORIES-->SCHEDULED DOCUMENTS, a screen similar to
what is shown above should open.
Adding Scheduled Documents:
To add a document that you wish GroupMAN to send out automatically
click on the + (plus) icon in the toolbar. The Add
Document dialog should appear.

To add a new scheduled document GroupMAN will require you to fill in several fields. These fields are explained in detail below.
Message Template To Send
The message template must already exist in your templates folder. Clicking the .. button on the right will open a file dialog which will allow you to select a template. Again, your scheduled document template is a regular text file stored in your templates folder.
Subject Line Of Message
When the message is sent GroupMAN will use what you enter here as the subject line of the message. Your subject will have the date automatically appended to it in the following format: Subject (mm-dd-yyyy).
When To Send
GroupMAN offers some flexibility on how often you would like this message to go to your list your choices are:Daily
Message is sent every day.
Once A Week On...
Message is sent once a week on the day selected in the drop down box. (Sunday through Saturday).
Once a Month On..
Message is sent once a month on the day of the month you specify in the drop down box (1 through 31). Please keep in mind that some months do not have 31 days, therefore if you tell GroupMAN to send your document on the 31st, it will not be sent on months with less than 31 days. (February)
Editing
Scheduled Documents
To edit an existing scheduled document. Double click on the document in the
UI or select the document and click the Pencil icon. You will be presented with
an edit dialog which is almost identical to the ADD DOCUMENT dialog.
Deleting Scheduled Documents
If you wish to delete a scheduled document. Select the document in question
and press the - (minus) button on the toolbar. You
will be prompted for a confirmation. This WILL NOT delete the FILE itself, only
the event.
