When you create a new list the first dialog that you are shown after the initial setup is the list options screen. Screenshots of this dialog and explanations are below.

List Options Dialog General Info Tab


List Name:
This is the name of the list. This cannot be changed once the list is created.

List Description:
This is a short description of the list. This short description appears on certain email templates.

List Email Address:
This is the email address that emails to the list are sent to. GroupMAN will search the headers of each email to determine whether or not an email in a POP Mailbox actually goes to the list. If the LIST EMAIL ADDRESS does not appear in the headers the email will be left in the POP Mailbox.

List Owner's Name
This is the Name of the List Owner. This will appear in the help file under the section HOW TO CONTACT THE LIST OWNER.

List Owner's Email Address.
The email address specified here will have authority to moderate messages or perform other remote administration functions. This email address will also receive all administrative notifications from the List Server. This email address will be the only email address that is allowed to run subject line based commands scripted in the Owner's Actions File.

Replies Go To:
When a list email is sent out you may specify where a reply goes to when the recipient preses the reply button. You are offered 3 choices:

Replies go to the list:
All replies are sent to the List Email Address for processing.

Replies go to the original author:
All replies are sent to the email address that authored the email that is being replied to.

Replies go to the List Owner:
All replies go directly to the person listed as the list owner. (under the General Info Tab)

Send Rejection Emails When A Person Is Not Authorized To Post To The List.
When a list only allows members or the List Owner to post to the list, GroupMAN can optionally send out rejection emails to anyone unauthorized to post to the list. When rejection emails are enabled a copy of the rejected email is sent to the list owner for review.

Who Can Post To The List:
GroupMAN Allows you to set up a variety of lists.

Only The List Owner Can Post:
This option only allows the email address listed as the LIST OWNER (under the General Info Tab) post messages to the list. This option is typically used for announcement only lists.

Anyone Can Post
This is an unrestricted list that allows anyone to post to the list. There are no restrictions setup on this type of list and the possiblity of spam going to your list will increase.

Only Members Can Post
This option will only allow subscribers to send messages to the list. Typically all messages from non-subscribers will be rejected unless they are subscription or help requests.

Are File Attachments Allowed
Some discussion groups may require the ability to send file attachments. But you may turn off the ability to send file attachments here. The file attachments will be held on the server but will not be mailed to subscribers. If you choose NOT to allow file attachments it will also disable the File Repository features.

Should This list be moderated list.
If you would like to review and approve all messages before they are sent to the members of the list you may choose to have a moderated list. Moderated lists send each message sent to the list to the list owner for review and approval.

Email Is Addressed From:
GroupMAN offers the ability to specify who list messages come from as well as who replies go to. These can be two different settings and should work with most modern email clients.

Email sent to the list has FROM ADDRESS listed as the senders TRUE email address.
This will address messages sent to the list with the original author's true email address. This setting is NOT RECOMMENDED as the sender may receive bounced emails for bad email addresses in the subscriber base. This may become quite annoying for the poster/subscriber.

Email sent to the list has FROM ADDRESS listed as the LIST email address.

This is the recommended setting. The persons name will be specified in the from field but the email address for them will appear as the LIST EMAIL address.


POP SERVER TAB:

This tab specifies the POP server information that is required in order to check the POP3 mailbox for your list. This section is very similar to setting up an email address in most email clients such as Microsoft Outlook or Outlook Express.

POP Server

This is your incoming (or POP3) mail server. Typically this is assigned by your ISP or Web Host.


POP Username
This is the username assigned for the POP3 account.

POP Password
This is the password for the POP3 account

POP Port
By default this should be port 110. But the option is provided for non-standard configurations.

POP Timeout
This is how long (in seconds) to wait for a response from the server.


SMTP SERVER TAB:

This tab specifies the SMTP (or outgoing mail server) information that is required in order to send mail out from your computer. This section is very similar to setting up an email address in most email clients such as Microsoft Outlook or Outlook Express.

SMTP Server
This is your outgoing (or SMTP) mail server. Typically this is assigned by your ISP or Web Host.


SMTP Username
Most SMTP servers do not require a username/password. But the option is provided for non-standard configurations.

SMTP Password
Most SMTP servers do not require a username/password. But the option is provided for non-standard configurations.

SMTP Port
By default this should be port 25. But the option is provided for non-standard configurations.

SMTP Timeout
This is how long (in seconds) to wait for a response from the server.


PATHS TAB:

The paths tab offers configuration options for where your messages are stored and various other configuration files for the list. When you create a new list this information is setup for you, however you are offered the option to change it for advanced setups.

Message Storage Folder:
This is the directory or folder where all message data is stored, including indexes and all mailbox data.

File Repostitory Folder:
This is the directory or folder where all file repository files are stored.

Attachment Storage Folder:
This is the directory or folder where all file attachments sent to the list are stored.

Templates Folder:
This is the directory or folder where all of the message templates for automated messages are stored.

HTML File Storage Folder:
This is the directory where the HTML files for web archiving are created and stored. These are mainly temporary files and are purged from time to time.

Subscribers Database Filename:
This is the subscribers database filename. This file contains your subscribers list and all relevant data for each subscriber.

Message Filters File:
This is the filters configuration file for the list.


FTP SERVER INFO TAB:

If enabled GroupMAN will create a web based repository of your list and send it VIA ftp to your website. The FTP Server tab allows you to setup your FTP information.

Send HTML Web Archive Of List:
Check this box if you would like to send a web archive of the list to your FTP server.

FTP Server Hostname:
This the FTP Server hostname required to connect to the FTP server.

FTP Username:
This is the username to access your FTP Account.

FTP Password:
This is the password to access your FTP Account.

FTP Remote HTML Path:
Here you need to enter the full FTP directory (folder) where you would like the list archive uploaded to. This folder should already exist on the web server.

FTP Server Timeout:
This is how long (in seconds) to wait for a response from the server.

FTP Server Port:

By default this should be port 21. But the option is provided for non-standard configurations.


ACTIONS SCRIPTS TAB:

This dialog allows you to select which actions scripts are to be used for public, members, and the owner.
